Privacy notice

This notice explains how AI Core CRM Pty Ltd handles personal information submitted through this marketing website. It does not cover the separate products Effica or Effica Hire, which publish their own privacy information.

What we collect

The free-call form collects your name, organisation, work email, optional phone and role, a workflow category, and a short general-business description. The submission records the time and privacy-notice version. We do not intentionally send your raw IP address or HubSpot tracking cookie with the form submission.

Do not submit sensitive information

This website is only for general business enquiries. Do not enter participant names, NDIS numbers, health information, clinical details, incident information or other sensitive personal information. The website is not designed to collect or process protected health information.

How we use the information

We use enquiry details to respond, understand the requested business workflow, arrange an introductory call, manage follow-up, protect the form from misuse and improve our service. We do not use enquiry text to make participant, clinical or service-access decisions.

Hosting, storage and notifications

The website is hosted by Vercel. General-business enquiries are sent directly to our HubSpot CRM, which is used to store the contact and submission, manage follow-up and notify authorised team members. We do not maintain a separate website lead database. Vercel, HubSpot and their service providers may process technical, account, support or other information outside Australia or through global infrastructure.

Analytics and cookies

We use Google Search Console and do not add advertising, behavioural tracking or the HubSpot tracking code at launch. Vercel and other technical service providers may still process request, security and operational information according to their own terms.

Retention

Unsuccessful enquiries are retained for no longer than 12 months, unless a shorter period is requested or a longer period is reasonably required by law, dispute management or an active business relationship. Enquiries that lead to an engagement may become part of the relevant business record and follow the applicable contractual retention process.

Disclosure and overseas processing

Information may be handled by our authorised staff and service providers involved in website hosting and CRM delivery. HubSpot offers regional hosting, but its terms identify exclusions and global service-provider processing. Do not use this form where Australian-only processing is required.

To ask what information we hold, request correction or deletion where applicable, or raise a privacy concern, email info@aicorecrm.com.au. We may need to verify your identity before acting on a request.
